HubSpot handles quote creation, approvals, e-sign, and closing. Accepted-quote data is handed off to ConnectWise for billing. The contracts object provides reporting and renewal visibility — not billing.

01 · Engagement Overview

The architecture, in one paragraph.

HubSpot handles quote creation, approvals, and closing. Billing is not set up in HubSpot. Once a quote is accepted, NexusTek pushes the data to ConnectWise via API, where billing is run. HubSpot's contracts object is configured for reporting and renewal visibility — it does not replace ConnectWise billing. The product catalog stays synced with ConnectWise.

Boundary note (ConnectWise): NexusTek intends to push accepted-quote data to ConnectWise via API for billing and to keep the product catalog synced with ConnectWise. The build of that API push and catalog sync is not included in this SOW.

05 · Client Responsibilities

What NexusTek owns

  • Name one decision owner and one project contact
  • Confirm HubSpot subscription tier and feature entitlements before kickoff
  • Decide payment processor and complete underwriting/account setup
  • Provide product data, pricing, branding assets, and standard quote terms
  • Own all tax registration and nexus determination
  • Obtain internal legal confirmation that HubSpot e-sign meets requirements
  • Define approval conditions and approver roles
  • Own the ConnectWise side (API push, catalog sync, billing operations)
  • Attend all workshops, reviews, and training with the right people
  • Review and approve configurations at Discovery Call #2
06 · Assumptions

What we're assuming

  • NexusTek's HubSpot subscription supports approvals, calculated properties, custom quote domain, contracts object, and Breeze (TBC)
  • One payment processor is used
  • Billing runs in ConnectWise; HubSpot is not configured for billing
  • ConnectWise API push & catalog sync are client-owned, not built under this SOW
  • Contracts object is for reporting & renewals only — subscriptions excluded
  • Sales ops is the primary quoting team; permission lockdown limited to defined roles
  • All work uses native HubSpot tools within the stated caps
  • Engagement runs within the agreed timeline with timely NexusTek decisions
